You've been put in charge of planning a one-day departmental training seminar with Dr. Melanie Dobler as your speaker. You must make travel arragements for the speaker, reserve a company room large enough for the number of people attending, and requisition any necessary items, such as a computer and screen for a powerpoint presentation, chairs, tables, and photocopies of training materials. In addition, arrange for two breaks and a casual lunch.

Write a memo that outlines the arrangements you've made.

Must be 6-15 sentences.

This is what I have so far... I spoke to my teacher and she said that It was kinda like a "2 part memo".. because you have to include the travel arrangments for the speaker..but your sending this to the executive staff and obviously you wouldn't let everyone know what her travel arrangments are. I'm just trying to figure out how I would include that in the memo without sharing the info with everyone??

Thanks for the help!

This is what I have so far...

SUBJECT: One-day departmental training seminar arrangements

I am taking this time to inform everyone of the arrangements that have been completed for the one-day departmental training seminar that is being held on Saturday, December 5, 2009, with Dr. Melanie Dobler as your speaker.

The seminar will take place at the Holiday Inn in the conference room at 9:00am sharp. You must arrive no later than 8:45am to check in and make sure you receive all the supplies that will be needed. The hotel has provided us with a computer and screen for the PowerPoint presentation, chairs, tables, and photocopies for training materials. There will be two 15 minute breaks at 11:00am and 3:00pm and a casual lunch that will be provided by the hotel from 1:00pm-2:00pm.

If you have any questions, or you will not be able to attend, please contact me at 555-555-5555 ext. 555.

I think you've done fine with the memo to be sent to everyone.

My suggestion is that you would send that out to the people who will be attending (but not to the speaker); then you would forward that message to the speaker with the added information about the arrangements for her needs. One nice thing about email is that forwarding ability -- the other person would get all the info previously sent out to the others PLUS the infor needed only for herself.

Thank You...but the teacher said that it all had to be in one email...I still don't understand how that can be done...without giving her personal arrangments out to everyone else. Any ideas?

Subject: Departmental Training Seminar Arrangements

Dear Executive Staff,

I am writing to provide an update on the arrangements I have made for the upcoming one-day departmental training seminar featuring Dr. Melanie Dobler as our esteemed speaker. The seminar is scheduled to take place on [date] at our company premises.

To ensure a smooth and successful event, I have taken the following necessary steps:

1. Travel Arrangements:
I have coordinated with Dr. Dobler's travel agent to make all the necessary arrangements for her to reach our location comfortably. Details of her travel itinerary, including flight information and accommodation, have been exclusively shared with our external event coordinator and not included in this memo to maintain privacy.

2. Seminar Venue:
I have reserved Room X in our company building for the seminar. This room can comfortably accommodate the anticipated number of attendees and is equipped with necessary facilities, including a computer, screen for the PowerPoint presentation, chairs, and tables.

3. Requisition of Equipment:
In addition to the existing equipment in Room X, I have requisitioned a dedicated computer and screen specifically for Dr. Dobler's PowerPoint presentation. This will ensure the best visual experience for all attendees. I have also arranged for additional chairs, tables, and photocopies of the training materials to accommodate our growing number of employees attending the seminar.

4. Breaks and Lunch:
I have scheduled two breaks during the seminar to allow attendees to refresh and network. Refreshments and light snacks will be provided during these breaks. Furthermore, I have arranged for a casual lunch to be catered during a designated timeframe. The menu selection will include various options to cater to different dietary preferences.

Please be assured that every effort has been made to make this seminar a valuable and enjoyable experience for all attendees. Dr. Dobler's expertise and interactive approach will undoubtedly contribute to the professional development of our department.

If you have any questions or require further information regarding the arrangements, please do not hesitate to reach out to me directly.

Thank you for your attention, and I look forward to a successful training seminar.

Best regards,
